Archiving saves and moves your old emails to a compressed file. Archive does create replica of items it only moves items. Archiving the old emails increase your Computer’s storage space. It helps to hold your Outlook folders clean & organized. Archiving can be performed in all items including calendar items. In most of the cases outlook keeps all the emails in a file called Outlook data files and it is also called as .pst file.

Ways to archive:

  1. Manually: You have to remember to do it.
  2. Automatically: Auto archive is featured on items older than a certain date you specify.

Steps to archive file by manually:

  • Open MS Outlook
  • Click on File and Go to Clean up tools
  • Click on the Archive this folder and all sub folders  & then click the folder that you want to select for archive. Any subfolder of the folder you select is included in this manual archive.
  • Enter the date you want to search with Archive items older than option.
  • If you don’t want use default file or location then you can go with browse option where you can choose your own location and then click OK. The destination path will appears in the box.
  • Select the Include items with “Do not Auto Archive” checked check box to include any items that might be individually marked to be excluded from automatic archiving. This option doesn’t remove that exclusion from these items, but instead of ignore the Do not Auto Archive check box for this archive only.

Steps to archive file by automatically:

  • Open MS Outlook
  • Click on File Tab.
  • Click options.
  • On the Advanced tab, under Auto Archive click on Auto Archive Settings.
  • Check on Run Auto Archive every  and then click ok.
